Operations Guide

Is your NEMT operation running at full potential?

Use this self-assessment to benchmark your scheduling, dispatch, driver management, compliance, and reporting workflows. Score each area to identify quick wins and strategic improvements.

Section 1: Scheduling Efficiency

Evaluate how efficiently your team creates, manages, and tracks ride schedules across your operation.

  • Rides can be scheduled in under 60 seconds
  • Recurring rides are auto-generated (not manually re-entered)
  • Rider profiles store accommodation needs and preferred addresses
  • Return trips are created automatically with the original ride
  • Schedule conflicts are flagged before confirmation
  • Staff can view all rides for a facility in a single dashboard

Section 2: Dispatch & Communication

Assess whether your dispatch workflows and patient communications are proactive or reactive.

  • Drivers receive ride assignments via mobile app (not phone/text)
  • Patients receive automated pickup reminders (SMS or push)
  • Coordinators are alerted when rides are at risk (no driver, running late)
  • Real-time driver location is visible to dispatch
  • Ride status updates flow automatically (assigned → en route → completed)

Section 3: Driver Management

Determine whether your driver operations support efficient ride fulfillment and accountability.

  • Drivers can accept or decline rides from a mobile device
  • Driver availability and location are tracked in real time
  • Trip attestation captures GPS and/or signature proof
  • Driver performance metrics (on-time rate, completion rate) are tracked
  • New drivers can onboard and start accepting rides within 24 hours

Section 4: Compliance & Documentation

Check whether your organization meets key compliance and audit-readiness benchmarks.

  • PHI access is logged with user, timestamp, and resource type
  • Rider communication consent (SMS, email, voice) is tracked per patient
  • Trip attestation records are exportable for audit review
  • Role-based access controls limit data visibility by user type
  • Password policies and session timeouts are enforced

Section 5: Reporting & Analytics

Evaluate whether your reporting capabilities support data-driven operational decisions.

  • Fulfillment rate is tracked and visible on a dashboard
  • No-show rates are measured and trended over time
  • Ride volume, peak hours, and capacity utilization are reported
  • Reports can be exported to CSV for external analysis
  • Custom date range filtering is available on all reports

Score your operation

Count the total number of checkmarks across all five sections and use the scale below to benchmark your current state.

0-10 checkmarks

Critical operational gaps -- transportation coordination is likely reactive, with manual processes creating bottlenecks and frequent ride failures. Prioritize scheduling automation and driver communication as immediate wins.

11-20 checkmarks

Room to grow -- core processes exist but manual work slows you down. Targeted improvements in dispatch visibility, patient communication, and reporting will yield the highest return on effort.

21-28 checkmarks

Well-optimized -- you're running a modern NEMT operation. Focus on compliance refinement, advanced analytics, and scaling your workflows across additional facilities or service areas.
